On the Street
We’ve made our capabilities presentation to several marketing organizations around town, and it’s fascinating to get a glimpse into how they manage projects.

They’re all doing something right, because they’re all quite successful. But it’s gratifying to show someone a better way of doing things and observe their reaction as they extrapolate the benefits of the example shown into their real-world environment.

Some companies haven’t modified their job tracking, estimating or timesheet processes in five or ten years. Why is that?

The jobs, estimates and timesheets are being created, routed, revised, reviewed, consolidated and approved, requiring various machinations at each step. As laborious as these procedures may be, we are comfortable with the familiar. We often presume that new processes may be disruptive, expensive or simply not work as promised.

These legacy systems have done an adequate job, but are labor-intensive and often require repetitive tasks to maintain them. The most common remedy is to hire clerical personnel to absorb these tasks.

This approach allows managers to focus on higher-level issues. It also involves the expense of full time employees to maintain an outmoded system.

An alternative is to make the transition to a more automated system in which middle managers maintain control. When designed appropriately, a new system can generate the same information and reports in a fraction of the time. Also, new report formats can be created. The managers learn new skills, and have more time to address larger issues. There’s increased job satisfaction. Some benefits can be quantified, others are intangible.

We get great ideas from our prospects. They like the concept of tracking their jobs better.

Recently one asked, “What about estimates?” so we developed a prototype to create, track and summarize estimates in various ways.

And another said, “If only we could incorporate timesheets into the system…” As a result we now have a timesheet prototype to show as well.

“What about insertion orders?” Well, anything’s possible, so we’re going to get our minds around that one next.
